How to save your email styles as a Theme and reuse them?

In this article, you'll learn how to create a Theme, apply it to other emails, and update it later.

A Theme is a saved set of email styles. You style one email the way you want, save that look as a Theme, and then apply it to any other email in two clicks. Every email you apply it to takes on the same style.

A Theme saves an email's general styles: email background, Stripe Styles, Heading Styles, and Button Styles. It does not save your content.

Use Themes when:

  • You send several campaigns in one brand style

  • You design for more than one brand or client and switch between looks

  • You want a new email to match an existing one without copying settings field by field

Where are Themes stored?

A Theme belongs to the project you created it in. Everyone with access to that project sees the same list and can apply any Theme from it, so one Theme covers the whole team. Themes don't carry over to other projects, so if you need the same look elsewhere, save it there too.

Who can work with Themes?

Two settings control Themes:

  1. The Themes feature for the workspace. An organization admin turns it on in SettingsWorkspaceWorkspace ConfigurationFeatures Management. If it's off, the Theme field doesn't appear in the editor for anyone.

  2. The Themes permission is in team roles. It's located in TeamRoles on the Editor tab, right next to General Styles.

The permission has two levels:

  • Manage: Create, edit, and delete Themes. Owner, Admin, and Designer have this level.

  • View: See the Theme field and apply a Theme to an email or detach it. Proofreader and Viewer have this level.

Writer has neither level, so the Theme field doesn't show up at all.

A role can be assigned across the organization or only inside a project, so your access to Themes can differ from project to project. For more on roles, see Understanding of Roles and Permissions.

If you don't see the Theme field at all, either the feature is off for the workspace, or your role has no View access to Themes. Your organization owner can check both.

How to save a Theme?

The Theme field sits at the top of the left panel in the editor, in the General Styles tab. On an email with no Theme applied, it reads No Theme.

  1. Click Create theme in the Theme field;

  2. Set the look you want in Global Styles & Layout, Stripe Styles, Heading Styles, and Button Styles;

  3. Type a name and confirm with the checkmark;

  4. The Theme is saved to your list and stays applied to the current email.

How to apply a Theme to another email?

  1. Open the email you want to restyle.

  2. Open the General Styles Theme field and click Select theme.

  3. Find your Theme in the list. Each card previews its header, heading, body text, button, and footer, with the name below. The Theme currently applied is outlined.

  4. Choose the Theme you want.

You'll know it worked when the Theme changed message appears and the email repaints in the saved styles, down to the individual blocks;

Blocks you styled by hand keep their own settings. A button with a custom color will not follow the Theme. Reset that block's styles first if you want it to match.

How to update, switch, or delete a Theme?

  • Once a Theme is applied, the Theme field shows its name, with an edit button and a dropdown next to it.

  • To change a Theme, click Edit theme. The field turns into a name box with a save and a cancel button. Adjust the styles, then click the checkmark to save. The changes go into that Theme, so every email that uses it picks them up.

  • The dropdown next to the Theme field holds three options:

  1. Replace opens your saved Themes so you can switch to a different one.

  2. No Theme detaches the Theme from this email.

  3. Save as new turns the styles you have now into a separate Theme. The name field is prefilled with "(Copy)" and the current name. Type your own name and confirm with the checkmark.

  • To delete a Theme, open the dropdown and select Replace. Hover over the Theme you want to remove, click the 3 dots on its card, and select Delete.

Which plans include Themes?

Themes are available on every plan. How many you can save depends on your plan:

  • Free: 2 Themes;

  • Basic: 3 Themes;

  • Medium: 5 Themes;

  • Pro: 10 Themes;

  • Prime: unlimited.

The limit counts across your whole organization, not per project. If your Pro organization already has 10 Themes spread over three projects, you've used them all.

Once you hit the limit, the new Theme isn't saved and you get a message with a link to the plans page. Delete a Theme you no longer use, or upgrade to add more.

Summary:

Themes turn the styling you already did once into something you can reuse. Set up one Theme per brand or campaign type, and every new email starts in the right look instead of being restyled from scratch.
