How template sharing works across projects and organizations

In this article, you'll learn how template sharing works between projects and organizations depending on your role and plan.

Stripo lets you move templates between projects and between organizations. You can take a template with you, leave it where it is, and just get access to it, or send it to someone as a link.

Which of these you can do depends on your role, your plan, and which account you're working in. This article explains what each method does, what it takes, and what happens to your templates when someone leaves an organization.

Duplicates the template into another project or organization. You get an independent copy that's fully yours to manage: edit, delete, share, or move it.

Relocates the template to another project or organization. It leaves the original location and lives only in the destination, so there's only ever one of it, and it's fully yours to manage.

Share to Project

Shares access, not ownership. The template stays with its owner and appears in your Template → Shared tab. You can open, edit, and export it, but not delete, re-share, or move it.

Generates a link anyone can open in preview mode. The recipient signs in to save the template into their own account, and your original stays untouched.

Important notes:

  1. Copy to and Move to let you choose whether to bring along the modules used in the template.

  2. If you transfer a template that's shared across several projects to an organization using the Move to option, those projects lose access to it. Stripo warns you before this happens.

Scenario 1. You're invited into an organization, on a Free plan:

You have two accounts: the host organization you were invited into, and your own organization (account). You switch between them from the account menu.

Since your own organization is on a Free plan, what you can do is decided entirely by your role in the host organization. For the full breakdown, see Understanding roles and permissions.

Invited as an Admin or Designer. Click the three dots on a template to open the menu with these options:

  • Copy to / Move to: available in both directions. Bring a template into your own organization, where it becomes yours fully to manage, or send one of your own templates to the host organization;

  • Share via link: available. You can generate a link for others, and they'll save the template in their own account.

Note: Share to Project is shown in the menu, and you can share a template into your own organization, but you won't see it there. The Template → Shared tab is a paid feature, so on a Free plan, the shared template simply won't appear.

Invited as a Writer, Proofreader, or Viewer:

  • Share via link: the only option available. The recipient will only be able to preview the template. You can open a shared link yourself, but on a Free plan, you can only preview a template, not save it.

Scenario 2. You're invited into an organization, and you have your own paid account:

Same setup, two accounts, but now your own organization is on a paid plan. Here, two things decide what you can do: your role in the host organization and your own paid plan:

Invited as an Admin or Designer. Click the three dots on a template to open the menu with these options:

  • Copy to / Move to: available in both directions. Bring a template into your own organization, where it becomes yours fully to manage, or send one of your own templates to the host organization;

  • Share to Project: available in both directions. A template shared with your organization appears in your Template → Shared tab and stays owned by the host organization. Sharing the other way works if the host organization is on a paid plan;

  • Share via link: available in both directions. You can generate a link for others, and they'll save the template in their own account.

Invited as a Writer, Proofreader, or Viewer:

  • In the host organization, Share via link is the only option available. Because your own organization is paid, you can open a shared link and save the template in your own organization.

  • From your own organization: Share to Project works as usual, because your role in the host organization doesn't limit what you do in your own account.

What happens when someone leaves an organization?

If you leave an organization you were invited into, here's what stays with you:

  • Templates you brought into your own account with Copy to, Move to, or Share via link. Once transferred, they're yours to keep.

  • Templates are shared in your account via Share to Project. These stay visible as long as your account remains on a paid plan.

Templates you only worked with inside the host organization, without moving them into your own account, stay in that organization and won't be available to you after you leave.

What happens with SSO members?

If your organization uses Single Sign-On (SSO), members log in through your company's identity provider instead of the usual Stripo login. This affects what they can see and do with templates.

An SSO member only sees the organization's projects. Their view stays limited to the company account, and they don't have a personal account of their own to work with. This applies whether they log in through SSO directly or try to reach Stripo another way, so there's no personal account for them to switch to.

Because of this, the template transfer options from the scenarios above work differently. Normally, you can copy or move a template into your own organization, but an SSO member has no personal account to move it into, so those options don't apply. Everything a member creates or works on stays inside the organization.

When a member leaves, all of it stays with the organization. Since they don't have a personal account, there's nowhere for templates to be taken, so everything remains in place.
